This Privacy Policy governs the collection, use, disclosure, and retention of personal information by Link AI, a business entity of EVERMEDIA CORP (“Link AI”, “we”, “us”, or “our”), in connection with the Services. By accessing or using the Services, you agree to this Privacy Policy. This Privacy Policy is incorporated into the Terms of Service available at getlinkai.com/legal.

Who we are

This Privacy Policy is issued by Link AI, a business entity of EVERMEDIA CORP (“Link AI”, “we”, “us”, or “our”). It applies to our websites (including getlinkai.com), the Link AI web dashboard at dashboard.getlinkai.com, and the Link AI Business iOS app (bundle identifier com.getlinkai.LinkAI) (together, the “Services”).

Information we collect

We collect information in several ways to provide and improve our Services:

Personal information

  • Name, email address, phone number, and contact details
  • Business information and billing details
  • Account preferences and settings

Usage data

  • Agent interactions and conversation logs
  • Feature usage and performance metrics
  • IP address, browser type, and device information

Customer contact data

  • Contact information collected by your agents
  • Chat histories and conversation context
  • Booking and order information

Link AI iOS app

The Link AI Business iOS app is a native client for the same Link AI / EVERMEDIA CORP service as the web dashboard. The app communicates with our backend over HTTPS using a bearer session. Data you create or access in the app is stored in your Link AI workspace unless this policy says it stays on the device.

The app collects the following data, in the ways and for the purposes below. These types are linked to your account.

Account and sign-in

  • Name and email address: collected when you create an account, sign in, or update your profile. Used for App Functionality (create and operate your account, magic-link sign-in, Sign in with Apple). Also used for Analytics (understand account and feature use), Product Personalization (tailor Ally and the workspace to your account), and Developer's Advertising or Marketing (send our own product updates and marketing about Link AI). You may opt out of marketing emails using the unsubscribe link or by contacting us.
  • Phone number: collected when you provide it for your account or to place calls. Used for App Functionality (account contact and outbound calling), Analytics (understand calling and account use), and Product Personalization (tailor calling and workspace features).
  • User ID: your Link AI account identifier and, if you use Sign in with Apple, the Apple user identifier. Used for App Functionality (authenticate you and keep your workspace separate from other accounts).
  • Sign in with Apple: the Apple user identifier and, if you choose to share it, your email address, used to authenticate you.
  • Magic-link email: we send a sign-in link to the email address you provide.
  • Authentication tokens are stored in the device Keychain. They are not sold and are not used for third-party advertising.

Camera

If you grant camera access, the app uses the camera so you can take photos and send them to Ally (our in-app assistant). Purpose string: “Link AI uses the camera so you can send photos to Ally.” Photos are uploaded only when you send them.

Photo library

The app may request add-only photo library access to save Ally-generated images to your library (purpose: NSPhotoLibraryAddUsageDescription). The app does not request full photo-library read access. When you pick an existing photo, the app uses the system PHPicker, which shares only the items you select.

Microphone

If you grant microphone access, the app uses it so you can dictate messages to Ally and place outbound customer calls (purpose: NSMicrophoneUsageDescription). Audio is used to transcribe or send the message, or to place and maintain the call. We do not use this audio to create or store voiceprints.

Share extension

If you use the Link AI share extension, the app receives images or files you explicitly share from Photos, Files, Mail, or similar apps. Shared items are staged in an App Group and uploaded only as you direct. The share extension does not contain your session or authentication tokens.

Push notifications

If you enable notifications, we collect an APNs device token, and may collect optional device model, app version, locale, and timezone, so we can deliver operational alerts you turn on (for example, orders, inbox, or calendar). You can disable notification types in Account → Notifications, and you can disable notifications for Link AI in iOS Settings.

Outbound calling

Outbound calls use Twilio Voice. Call audio is processed to place and maintain the call. Recording and transcription, when enabled for a workspace, follow the voice practices described in this policy and in our Terms.

Emails or text messages

When you send or receive email or SMS through the Services (including Ally, agents, and outbound messages you authorize), we collect the message content. Used for App Functionality (deliver the message and keep it in your workspace), Analytics (understand how messaging features are used), and Product Personalization (keep conversation context so Ally and your agents can continue the thread).

Photos or videos

Photos or videos you take, pick, or share with Ally, and images Ally generates that you save, are User Content. Used for App Functionality (send, display, or save the item). Also used for Analytics (understand whether photo features are used) and Product Personalization (use the item you sent as context for Ally in that workspace). We do not use your photos or videos for third-party advertising.

Audio data

Microphone audio you capture to dictate to Ally or to place a call is Audio Data. Used for App Functionality: transcribe or send the message, or place and maintain the call. We do not use this audio to create voiceprints or for advertising.

Other user content

Files and other content you explicitly share or upload (including through the share extension) are Other User Content. Used for App Functionality: store and process the item as you direct in your workspace.

Device ID

If you enable push notifications, we collect an APNs device token (a Device ID) so we can deliver alerts to that device. Used for App Functionality only.

Product interaction

We collect feature usage and interaction data in the app (for example, which screens and tools you use). Used for App Functionality (operate the product), Analytics (measure and improve features), Product Personalization (surface relevant workspace tools), and Developer's Advertising or Marketing (decide which of our own product updates or feature announcements to send you). We do not use product interaction to track you across third-party apps or to show third-party ads.

App Store privacy details (Link AI Business iOS app)

The following matches the data types disclosed for the Link AI Business iOS app in App Store Connect. Each type is linked to the user's identity. None of these types is used for Tracking (we do not link this data with third-party data for advertising across other companies' apps or websites).

  • Name: App Functionality, Analytics, Product Personalization, and Developer's Advertising or Marketing.
  • Email Address: App Functionality, Analytics, Product Personalization, and Developer's Advertising or Marketing.
  • Phone Number: App Functionality, Analytics, and Product Personalization.
  • Emails or Text Messages: App Functionality, Analytics, and Product Personalization.
  • Photos or Videos: App Functionality, Analytics, and Product Personalization.
  • Audio Data: App Functionality.
  • Other User Content: App Functionality.
  • User ID: App Functionality.
  • Device ID: App Functionality.
  • Product Interaction: App Functionality, Analytics, Product Personalization, and Developer's Advertising or Marketing.

“Developer's Advertising or Marketing” means our own communications about Link AI (for example, product updates or feature announcements sent to the email on your account). It does not mean third-party ads in the iOS app, advertising cookies in the app, or tracking across other companies' apps.

How we use your information

We use collected information to provide, maintain, personalize, and improve the Services, and to send service and (where permitted) marketing communications about Link AI, including:

  • Provide, maintain, and operate the Services you configure (App Functionality)
  • Process transactions and manage your account
  • Operate agent workflows and features within your workspace (for example, answering questions with your knowledge base, booking appointments, or sending emails you authorize)
  • Measure feature use and improve the product (Analytics)
  • Tailor Ally and the workspace to your account and the content you provide (Product Personalization)
  • Send important service notifications and updates, including the push alerts you enable in the iOS app
  • Send our own product updates and marketing about Link AI to the name and email on your account (Developer's Advertising or Marketing). You may unsubscribe from marketing at any time.
  • Provide customer support and technical assistance
  • Comply with legal obligations and protect our rights

We do not sell personal data. We do not use Google user data obtained through Google Workspace APIs to create, train, or improve generalized or foundational machine learning or artificial intelligence models.

Cookies, analytics, and tracking technologies (website only)

On our marketing website (getlinkai.com), we and our service providers use cookies, pixels, and similar technologies to operate the site, remember your preferences, measure performance, and support marketing. These technologies may collect your IP address, device and browser information, pages visited, and interactions with our site. We work with the following third-party providers on the website only:

  • Google Analytics and Google Ads: website analytics and advertising/conversion measurement
  • Meta (Facebook) Pixel: advertising and conversion measurement
  • Vercel Analytics: website performance and traffic analytics

The Link AI Business iOS app does not include Google Ads, Meta Pixel, or Vercel Analytics, does not use advertising cookies, and does not track users across third-party apps or websites for advertising purposes.

You can control website cookies through your browser settings, and you may opt out of certain advertising tracking using tools such as Google's Ads Settings, the Meta ad preferences page, and industry opt-out pages (for example, optout.aboutads.info). Disabling cookies may affect the functionality of our site. For California residents, please also see “Your rights” below.

Biometric information

Our voice agents process audio in order to transcribe and respond to conversations. We do not use this audio to create or store voiceprints or other biometric identifiers for the purpose of uniquely identifying an individual, and we do not sell biometric information. If we ever introduce features that collect biometric identifiers as defined by laws such as the Illinois Biometric Information Privacy Act (BIPA), we will first provide notice and obtain any consent required by law.

Google user data and Limited Use

When you connect Google services (such as Gmail or Google Calendar), Link AI accesses Google user data only to provide or improve user-facing features that you enable. Examples include sending email on your behalf with Gmail, and creating or updating calendar events for appointments.

Limited Use compliance statement: The use of raw or derived user data received from Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements.

  • Google user data is used solely to provide or improve Link AI features you configure
  • Google user data is not sold, and is not used for advertising or creditworthiness determinations
  • Google user data is not transferred to third parties for those parties to train their AI/ML models
  • Human access to Google user data is limited to security, abuse investigation, or support cases you request, and is governed by internal access controls

Google user data and Gmail integration

Link AI is a workspace AI platform. When a workspace owner connects Gmail, we request only the gmail.send scope to send email from their own Gmail address, not to read, modify, or search their inbox.

We use it to:

  1. Let the workspace AI assistant (Ally) send user-approved emails (quotes, follow-ups, requested information) from the connected Gmail account.
  2. Let AI agents send business emails from the real Gmail address (appears in Sent) when the Gmail integration and agent toggle are enabled, not from a no-reply address.

Sends are initiated by the product/user workflow; the assistant is instructed to confirm recipient and content before sending. We do not access inbox contents, labels, drafts, or contacts via this scope. OAuth tokens are stored encrypted per workspace and used only for the Gmail send integration the user enables in Settings → Integrations. We do not use Gmail data for ads, resale, or unrelated profiling.

You may disconnect Gmail at any time from Settings → Integrations, or revoke access from your Google Account permissions. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Third parties, SDKs, and equal protection

We rely on trusted third-party providers to deliver the Services. These providers process data on our behalf under contractual obligations to protect it and use it only to provide their services to us.

The Link AI Business iOS app uses the following third parties and SDKs:

  • Apple: Sign in with Apple, and Push Notifications / APNs (device token and delivery of alerts you enable).
  • Supabase: authentication for your Link AI account.
  • Twilio: outbound voice calling (Twilio Voice). Call audio is processed to place and maintain the call.

When the app talks to our API, the same processors that support the web dashboard may also receive data needed to operate your workspace, including:

  • Cloud hosting providers that store and serve the Services
  • Stripe: payment processing for subscriptions and billing. Card collection and billing are handled on the web dashboard, not by collecting card numbers in the iOS app.
  • OpenAI (API / paid business tiers): used for language model inference. We use plans and contractual terms under which customer content submitted via the API is not used to train OpenAI's foundational models.
  • Google Gemini (Google AI / Gemini API, paid tiers): used for language model inference. We use plans and contractual terms under which customer content submitted via the API is not used to train Google's foundational models.

When Google Workspace user data is involved in a feature (for example, calendar context used to book an appointment), that data is processed only to deliver that feature and is not transferred to AI providers for model training. A current list of sub-processors is available on request at privacy@getlinkai.com.

Equal protection of user data

Any third party with whom we share user data, including analytics tools, communication providers, AI model providers, payment processors, cloud hosts, and Apple, will provide the same or equal protection of user data as stated in this Privacy Policy and as required by the Apple App Store Review Guidelines.

Data security and protection

We employ industry-standard security measures to protect your information:

  • End-to-end encryption for data transmission
  • Secure data storage with regular backups
  • Multi-factor authentication for account access
  • Regular security audits and vulnerability assessments
  • Limited access controls for our team members

However, no system is entirely secure, and you acknowledge the inherent risks of data transmission over the Internet.

Retention, deletion, and revoking consent

We retain your personal data only for as long as necessary to fulfill the purposes for which it was collected or as required by law.

Delete your account in the iOS app

You can delete your account from the Link AI Business iOS app without visiting the website: open Account → Delete Account. That starts deletion from the device.

After you confirm in-app deletion, the account is marked for deletion. For 30 days you may recover it by emailing hello@getlinkai.com. When that 30-day recovery window ends, the account is terminated. We then delete or anonymize remaining personal data within 90 days of termination, unless a longer period is required by law (for example, tax, fraud prevention, or a legal hold). In short: 30 days to recover, then up to 90 days after termination to complete deletion or anonymization.

Other deletion and access requests

You may also request access, export, or deletion of your data at any time by emailing privacy@getlinkai.com, subject to legal and contractual obligations. You may disconnect Google integrations at any time, which revokes our access tokens for those services.

Revoking iOS permission consent

Device permissions are optional and can be withdrawn at any time in iOS Settings → Link AI (camera, microphone, photos, and notifications). Push notification types can also be turned off in the app under Account → Notifications. Turning off a permission stops future collection for that feature; it does not by itself delete data already stored in your workspace.

Your rights

Depending on your jurisdiction, you may have certain rights regarding your personal data:

  • Right to object to processing

CCPA rights (California)

  • Right to know what data is collected
  • Right to delete personal information
  • Right to opt-out of data sales
  • Right to non-discrimination
  • Right to access specific data pieces

We do not sell your personal information for money. To the extent that our use of advertising cookies on the marketing website is considered a “sale” or “sharing” under the CCPA, California residents may opt out by adjusting their browser cookie settings and using the advertising opt-out tools described above, or by contacting us at privacy@getlinkai.com. The iOS app does not use those advertising cookies.

To exercise these rights, contact privacy@getlinkai.com. Include enough information to identify your account, specify the right you wish to exercise, and allow up to 30 days for processing most requests, or the timeframe required by applicable law.

HIPAA

HIPAA terms apply only when we have a Business Associate Agreement (BAA) with that customer. Downloading the Link AI Business iOS app does not make you a covered entity, and the App Store app is not a medical device. Healthcare customers who will handle Protected Health Information must execute a BAA before using the Services with PHI. See the HIPAA section of our Terms and contact baa@getlinkai.com.

Updates to this policy

We may update this Privacy Policy periodically. Material changes will be communicated via email or through the Services. Your continued use of the Services after such changes constitutes acceptance of the updated policy. We recommend reviewing this page regularly.
